The order was late. The gift arrived broken. Service was slow. Parts were missing. You are fuming.

If you want to complain effectively and you want the problem resolved, put your concerns in writing, advises the Office of Consumer Affairs, Virginia Department of Agriculture and Consumer Services. A letter is often the best means of drawing attention to a problem, according to the office. It sends a complete and consistent message that can be passed along, intact, to the appropriate person for a response. A phone call, on the other hand, may be misdirected, reinterpreted or even lost before action can be taken,

An effective letter of complaint should include the customer’s name, address, home and work numbers, product description and account number, if appropriate. Address it to the company’s Customer Service department, which is set up to deal with consumer problems.

The letter should be brief and to the point. I should include all the important details about the problem including when and where the purchase was made and the reasons for dissatisfaction. It should also describe any efforts that have already been made toward resolution of the problem.
